Data Controller
Yamaha Music Europe GmbH, Siemensstraße 22-34, 25462 Rellingen, Germany, is the Data Controller for the personal data collected through this registration form.
Data Processor
Mare20 s.r.l., Via Villapizzone 26, 20156 Milano, Italy, processes this data on behalf of Yamaha Music Europe GmbH, as event organizer, to manage the registration and organizational secretariat of the event.
What data we collect
Full name, sex, date and place of birth, nationality, identity document or passport details (type, number, dates and place of issue, issuing country), email address, mobile phone number, country of residence, language, travel arrangements (how you plan to reach the event and, if relevant, your preferred departure airport), and an emergency contact's name and phone number.
If you choose to tell us about allergies, medical equipment, medication, or other special requirements, this is health-related data that you provide voluntarily for your safety on board; we only process it with your explicit consent, given by submitting the form.
Purpose of processing
Your data is used to register your participation in the Yamaha Agent Summit 2026 cruise, including preparing the travel documentation required by the cruise operator, arranging travel logistics, and taking into account any special assistance or medical needs you disclose.
Legal basis
Processing is based on the performance of measures taken at your request prior to your participation in the event, and on your consent (given when submitting the form). Any health-related data you choose to share is processed only with your explicit consent.
Who we share your data with
Costa Crociere, the cruise operator, receives the travel document data necessary to complete your booking and travel documentation. We also use the following service providers (sub-processors) to run this website and send you emails:
- Cloudflare, Inc. — website hosting, database, and content delivery
- Resend, Inc. — delivery of registration and confirmation emails
- Google LLC — internal email and communication tools used by Mare20 staff
Your data is stored on Cloudflare D1, Cloudflare's own database service — not on any other third-party database platform.
International data transfers
Some of the providers listed above may process data outside the European Economic Area. Where this happens, appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses.
Data retention
Your data is kept for as long as necessary to organize the event and fulfil related administrative and legal obligations, and is deleted or anonymized afterward as instructed by Yamaha Music Europe GmbH as Data Controller.
Your rights
Under the GDPR, you have the right to access, correct, or delete your data, to restrict or object to its processing, to request data portability, and to lodge a complaint with your national data protection authority. To exercise any of these rights, contact us using the details below.
Security
Data is encrypted in transit (HTTPS/TLS). Hosting infrastructure includes DDoS protection and a web application firewall. Access to registration data is restricted to authorized Mare20 staff.
